The Records Division operates on a 24 / 7 schedule. The division, similar to other divisions within the department never closes for any reason. The Records Specialists are responsible for processing every report that is generated by other divisions within the department.

Each report must be processed through many different channels on a local, county, state, and federal level. Records Specialists are also responsible for the many telephone calls for service that come into the divisions 24 hours a day. The calls can range from someone inquiring about obtaining a copy of a police report to the issuance of parking permits. In addition, the technicians also assist members of our community who come to the front counter with varying questions and requests.

The majority of the Records Specialist have a record of a long tenure with the division and the department and each are very experienced in their field of expertise. Below is the requirement’s each must have to become a Records Specialist.

Requirements 

 

Definition:
           

Under direct supervision, to perform varied and increasingly responsible clerical public-contact duties for the La Habra Police Department.

 
        
Essential Duties (Duties may include, but are not limited to, the following):     

  • Files, maintains and searches criminal history records.
  • Furnishes information to authorized persons.
  • Responds to information requests from police and other law enforcement officials and the public.
  • Performs rapid record checks in response to radio/telephone inquiries.
  • Operates a computer for query and data entry into a variety of City, statewide and national databases.
  • Enters information into various databases from crime reports, supplemental reports and arrest reports.
  • Performs computer record checks for past entries and updates original entries.
  • Verifies the accuracy and completeness of entries and make corrections.
  • Produces reports and distributes to appropriate destinations.
  • Types forms, letters, memos and other documents.
  • Receives teletype messages from other agencies and confirms receipt.
  • Sends point to point messages to other agencies.
  • Processes arrest paperwork for court.
  • Assists jail personnel with arrestees as needed, including physical searches of arrestees.
  • Runs subject through the automated law enforcement telecommunications systems to retrieve any prior criminal history.
  • Completes booking packet.
  • Provides bail information to bail bond company or to appropriate parties.
  • Performs phone and counter work to assists customers for such duties as explaining rules and procedures, processing forms, taking in payments for sales of records/reports.
  • Performs other related duties as required.

     

 

 

Qualifying, Knowledge, Skills and Abilities:

 

General knowledge of office practices, procedures and equipment; thorough knowledge of English grammar, punctuation and spelling; skill in preparing and maintaining accurate, detailed records; skill in using a typewriter accurately at 40 words per minute; ability to handle and maintain confidential information; ability to work independently and proof own work; ability to organize work and meet deadlines; ability to carry out oral and written directions; ability to work cooperatively and accurately with a large staff; ability to deal effectively with the public; ability to work under pressure; good speaking voice is helpful.

 

Special Requirements:        

Requires ability and earnest willingness to work rotation of days, swing and graveyard shifts, including holidays and weekends.

Training and Experience:

Experience or combination of education and experience, providing the qualifying knowledge, skills and abilities. High School Diploma or GED is required. Two years of experience performing increasingly responsible clerical duties including demonstrated proficiency in data entry.

 

License Requirement:

A valid California Class C Driver’s License is required.
